Position overview
The Executive Assistant will play a key role in ensuring the smooth functioning of the Director of Advocacy & Communications’ work, providing high-level administrative, logistical, and coordination support. This position will help the Director manage priorities and deadlines, coordinate complex schedules, organize travel and events, and support communications across multiple time zones and cultural contexts.
The role will also assist in the Director’s participation in global, regional, and local processes that advance Indigenous rights, advocacy campaigns, communications strategies, Indigenous Rights Radio, and cross-departmental initiatives.
The ideal candidate will be proactive, detail-oriented, highly organized, and capable of building strong working relationships across diverse cultures. This role requires exceptional written and verbal fluency in both English and Spanish, strong intercultural communication skills, and a deep respect for Indigenous rights, worldviews, and leadership.
Status and location: Full-time (35 hrs./week), remote position. Preference for candidates based in Latin America.
Language skills required: Fluency in both English and Spanish, spoken and written, is required. Proficiency in an Indigenous language or another language is preferred but not required. Russian language proficiency is also desired but not required.
Responsibilities include
Administrative support
- Provide high-level administrative support to the Director of Advocacy & Communications, including proactive calendar management, internal coordination, and prioritization of tasks in a dynamic, multicultural environment.
- Draft, translate, edit, and proofread a wide range of documents in English and Spanish—including communications materials, advocacy content, and community engagement resources—ensuring clarity, accuracy, and cultural relevance.
- Maintain organized, up-to-date records of meetings, advocacy campaigns, publications, and strategic initiatives, supporting internal knowledge management and reporting needs.
- Prepare briefing materials, reports, presentations, and talking points for internal use and for external stakeholders such as partners, donors, Indigenous leaders, and advocacy networks.
- Track key deadlines, monitor action items, and support the timely delivery of high-quality outputs, ensuring alignment with organizational priorities and cultural sensitivity.
Meeting and calendar coordination
- Coordinate and schedule internal and external meetings for the Director, including sending invitations, managing logistics, and arranging interpretation services when needed.
- Organize and support meetings, webinars, and public events involving Indigenous partners, media representatives, UN bodies, and members of global coalitions, ensuring respectful and efficient engagement across time zones and languages.
- Maintain and manage the Director’s calendar, prioritizing appointments, rescheduling when necessary, and ensuring prompt attention to time-sensitive and confidential matters.
- Monitor special projects, task assignments, and key initiatives to ensure timely follow-up, completion, and alignment with strategic goals.
- Facilitate effective communication and seamless coordination among internal teams and external stakeholders, ensuring all participants are well-informed and prepared.
- Take accurate notes during meetings and promptly distribute clear summaries and action items to relevant parties.
Communication and interpretation
- Provide accurate, culturally sensitive consecutive or simultaneous interpretation between English and Spanish during meetings, events, or other organizational activities, as needed.
- Ensure all administrative and communication support reflects a deep understanding of cultural contexts and is responsive to the needs of staff, Indigenous partners, and collaborators.
- Facilitate clear, respectful communication with Indigenous communities, advocacy networks, and partner organizations, supporting ongoing collaboration and mutual understanding.
- Serve as a liaison on behalf of the Director to coordinate with cross-functional teams—including Advocacy, Communications, Indigenous Rights Radio, and Special Projects—ensuring consistency, alignment, and timely information-sharing across initiatives.
Travel and event logistics
- Plan, coordinate, and manage all logistical arrangements for staff and partners traveling in alignment with Cultural Survival’s mission and values, ensuring safety, cultural sensitivity, and efficiency.
- Arrange national and international travel, including booking flights, accommodations, and ground transportation, while maintaining cost-effectiveness and compliance with organizational policies.
- Organize and oversee event logistics for in-person, hybrid, or virtual gatherings, including invitation management, agenda drafting, venue selection, catering, lodging, and participant support.
- Provide assistance with immigration-related processes for external guests, speakers, or partners, ensuring smooth participation in events or organizational activities.
- Facilitate group travel planning and coordination for delegations, campaign teams, or project-based mobilizations, ensuring inclusive, respectful, and well-organized experiences.
Operational and budget assistance
- Support the Director in monitoring departmental budgets and expenditures, ensuring accurate tracking, documentation, and alignment with organizational priorities and grant requirements.
- Assist in the planning and coordination of advocacy and communications campaigns—including publications, radio content, and multimedia outputs—by facilitating task management and collaboration across internal teams.
- Help maintain systems and tools for operational efficiency, contributing to the smooth implementation of cross-functional initiatives and alignment with timelines and deliverables.
Organizational collaboration
- Actively participate in team, departmental, and organizational meetings to ensure alignment, information flow, and effective coordination across initiatives.
- Uphold and embody Cultural Survival’s core values of equity, solidarity, interculturalism, respect, humility, and mutual support in all interactions.
- Serve as a respectful, reliable, and culturally sensitive bridge between the Director and key stakeholders—including Indigenous leaders, donors, advocacy partners, and allied organizations—fostering trust-based relationships and shared understanding.
QUALIFICATIONS
We are seeking a proactive and highly organized individual who is fully bilingual in spoken and written English and Spanish, with proven experience providing high-level administrative support in the context of Indigenous Peoples’ rights, human rights, or nonprofit advocacy work. The ideal candidate will have the professional maturity to work effectively in a remote environment with a reliable high-speed internet connection, exercising discretion when handling sensitive and confidential information. They will bring a deep respect for and understanding of Indigenous Peoples’ rights, traditions, cultures, and cosmovisions, and will be committed to equity, intercultural dialogue, and collaborative work across geographies and disciplines.
- Minimum of 3 years’ experience providing dedicated administrative support to executives, directors, or senior managers, preferably within a nonprofit or mission-driven organization.
- Experience working with Indigenous communities or organizations advocating for Indigenous rights is highly valued.
- Familiarity with budgeting processes and the ability to assist in monitoring departmental expenses.
- Fully bilingual in spoken and written English and Spanish, with demonstrated professional experience in translation and interpretation (oral and written).
- Excellent editing and proofreading skills in both languages.
- Excellent verbal and written communication skills, with a strong commitment to respectful collaboration and cultural humility.
- Proficiency in an Indigenous language is highly desirable; knowledge of Portuguese, French, or Russian is a plus.
- Strong organizational and time management skills, with the ability to manage multiple priorities, meet deadlines, and maintain accuracy under pressure.
- High proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, Zoom, Adobe Acrobat, and other relevant tools.
- Proven ability to handle confidential information with integrity and discretion.
- Skilled in providing constructive and culturally sensitive feedback within diverse teams.
- Comfortable working independently with minimal supervision in a remote, multicultural setting.
- Excellent interpersonal and cross-cultural communication skills, with the ability to develop and maintain constructive working relationships across departments and with external partners.
- Experience supporting communications, logistics, and coordination for multilingual, cross-cultural teams.
- Willingness and ability to travel occasionally in a support role alongside program staff.
- Strong attention to detail and exceptional customer service orientation.

Descripción del puesto: La persona Asistente Ejecutiva desempeñará un papel clave en asegurar el buen funcionamiento del trabajo de la Dirección de Defensa y Comunicaciones, brindando apoyo administrativo, logístico y de coordinación de alto nivel.
